Meeting Minutes

October 20, 2008

Committee Purpose and Goals: 

All senior parents are welcomed and encouraged to participate in planning and fundraising for Project Graduation an all-night chemical-free party on graduation night—June 3rd, 2009.  For the past two years this event was held at the Bath YMCA which offers two swimming pools, a 20-person hot tub, a rock-climbing wall, a gymnasium, racquetball courts, a game room and a kitchen.  The students are transported by bus to and from the event and must stay for the entire night—8pm to 5am.  Project Graduation is open to all seniors at no charge.  The night is filled with fun activities such as DJ provided music, a hypnotist, a magician, Bingo, and lots of food. 

 

We need senior parents to be on the Committee and to work at events to make this a success.  Our goal is to raise $8,000 - $10,000.  We want our graduates to enjoy a safe, memorable and very fun night!

 

Project Graduation Staff Advisors:  Both are at the event in June. Contact at 874-8260.

 

Contacting Senior Parents:

 

·        Mailings – bulk mailings to all senior parents

·        Conferences – handouts with information about Project Graduation

·        Website – front page announcements or Daily Bulletin

·        Clocktower – Articles in Clocktower online

·        Email – to senior parents that have submitted addresses to the school 

·        Automated Phone calls – can be used sparingly for important information

Parent donation letter – senior parents requested to make a donation of at least $25.  Michelle updated the letter.  Letters will be mailed in October.

Committee/ Gloria

Business donations – We have a list of businesses to solicit both cash and in-kind donations.  The list will be sent to committee members for review and input with feedback sent to Gloria.  Add business names/addresses.  Mailing to be completed at November committee meeting.

Gloria/Booster contacts

Booster Club donations – Booster Clubs give donations ranging from $25 to $300 in honor of their seniors

Sue/Gloria

Raffle at October Parent Conferences.  Sue obtained four donations of heating oil or gas.  Raffle tickets will be sold during conferences.

Gloria

Shaws receipts – the Key Club was collecting these to benefit STRIVE.  Now that they are done with their drive we can sign up with Shaws to collect the receipts for Project Graduation.  Gloria will research signing up and then make an announcement to let students know they can deposit receipts in boxes in the athletic office and in the attendance office.

Appleby’s Pancake Breakfast Penny/Dave will contact Appleby’s to see about setting up a pancake breakfast for February 1st.  We could have a drawing for attendees to win prom tickets, a manicure, corsage, etc.

Gloria/Sue/Julie

Dessert Night – Donations of food and then charge for admission.  Discussed the night of March 12th.  Gloria will get Sue information about our business partner, Hilton Hotel.  Gloria will look into “Simply Divine”, Elizabeth will check with “Good Eats”; Julie will look into having it at Woodfords Church.  We could do a Silent Auction at this event.

Silent Auction Elizabeth presented a draft list of potential themed baskets.  (see attached)  Please send feedback/ideas to Elizabeth.  The idea is that each Deering Coaching (DC) group of seniors could collect items for a themed basket of goods i.e. gardener’s basket, movie night basket, school supply basket.  There are 18 DC Group.  Teachers could sign up for specific baskets based on the interests of their group of students.  The auction would be held conjunction with the dessert night fundraiser.  Elizabeth is willing to work on the collection of items from DC groups.  Sue suggested that Gloria consult with Joyce about creating a solicitation letter that has a receipt on it for donations with tax ID number on it, a place to write the donation, dollar amount, expiration date, etc.

Gloria set date with PHS

Faculty Basketball game – For the past two years we have had Deering High School staff play against Portland High School staff.  We have done this in conjunction with the PHS Project Graduation Committee and split the proceeds (gate, concessions/bake sale, 50/50 raffle).  The game has been in April in the past.  Gloria will review the school and athletic calendars to book a good date.

Elizabeth

Plant Sale – This event has been very successful over the past two years.  Perennial plants donated by parents and staff.  Annual plants donated by local nurseries.  Held the Saturday of Mother’s Day weekend on the front lawn of the school.  Wooden signs were placed in front of the school during the week before the sale.  Elizabeth volunteered to work on this fundraiser.  Michelle will get Elizabeth notes from last year.  It was suggested that someone could contact professional landscape companies to request that when they are dividing plants in the spring that rather than discarding them they could give us to plants.

Gloria

Wreath Sale Gloria consulted with the Cheering Coach and it was decided that Project Graduation would not work with them on a wreath sale.
